Moving office can be a very stressful experience, much like moving house. In fact, it’s a lot more complicated than moving home, with much more at stake. So it’s important to prepare, and have a detailed plan of how the move is going to go ahead. To get you started, here is a simple check-list of the essential things to do before you make the big move.
It’s all about the timing
Being aware of when the move is going to go ahead may seem obvious, but there is much more to it than simply setting a date. You’ll need to have a detailed schedule for the day, with times of departure, arrival and how long the unpacking will take. It may seem over-zealous, but the more you plan now, the less room there will be for delays on the day.
Keeping your business in motion
It’s also important to think about how much of an effect your move will have on the operating of your business. Will you use temporary office space? Will you be out of action for long? Will staff be asked to come and help or will they be given time off? These are all questions that you need to have answered before you move your offices. You have to think about customers too.
Will they be unable to reach you while the move is going on? Are you moving far, leaving your existing customers behind for new ones? How will existing orders be affected, and will the move prevent you from honouring any?
Keep service providers updated
Get in touch with your service providers and let them know that you are moving office, so that there won’t be any unpleasant surprises when you resume normal operations again. Ensuring that you have everything like electricity, heating, phone lines and internet all set up at your new address means that getting back to business as usual will be a transition that is as smooth as possible.
If there will be a new business moving into your old address, liaise with them about the possibility of them forwarding any post on to your new address.
Time to call in the professionals
If you have a lot of stuff to move, it may be a good idea to use a professional office clearance or removal company. They will be able to pack everything professionally, ensuring that there is no damage to anything in transit, and will have transport that is appropriately sized, meaning that you don’t have to try and squash everything into the boot of your car!
Finally, when you are beginning to pack things away, think carefully about what needs to be packed first. This should be anything that is non-essential, so pictures, plants and other decorative items can fit into this category. Use this method work your way up to the most essential items, such as computers. By packing these items last, you will be able to use them as close to the move as possible, and be able to access them first when you move into your new premises.
Moving on up
By putting the above advice to use, your move will be as stress free as possible. Of course, each business has its own individual needs, and there is no one size fits all approach to moving office. However, we’ve covered the basic, yet essential things to get in order before you move. Remember, preparation is key! After all, a move that causes as little disruption as possible will cause very little disruption to your business.
That means that you will be able to get back to trading as soon as possible, and watch your business go from strength to strength in its new home.
